Important Disclaimer — Your CRM is the engine

Throughout this masterclass we reference two CRMs: GoHighLevel and Vaughn Labs CRM. Pick one and commit. Trying to run sales without a CRM is like trying to run a gym without a membership system — it falls apart fast.

If you don't have a CRM yet, grab a free full account at vaughnlabs.io/free-account (not a trial — a real free account you can run your business on). Pipelines, lead temperature, tags, follow-up cadences, qualification, and process are universal — but you still need a tool to run them in. Sticky notes and memory don't scale past 20 leads.

    Chapter 1

The Real Reason You're Not Closing More Deals

It's not your offer. It's not your traffic. It's not your closing skills.

It's that 73% of the leads you've ever generated are sitting in your DMs, your inbox, your phone, your Excel sheet — completely forgotten.

    The Leak Test

    • How many people did you talk to last month who said "interested but not now"?
    • What were their names? Their problems? Their timeline?
    • When are you following up with them?
    • What did you promise to send them?

The 4 Leaks Every Operator Has

    • Inbox Leak — buried under newer conversations.
    • Memory Leak — "I'll remember." You won't.
    • Tag Leak — you can't find which coach you talked to last week.
    • Cadence Leak — followed up once. They were 3 follow-ups from buying.
Fix all four and the SAME amount of traffic produces 2–3x the revenue.

    Chapter 2

    The Sales System Pyramid

5 layers — each rests on the one below it. Wrong order = collapse.

    • Layer 1 (Foundation) — Sales Process: the defined steps from "stranger" to "paying customer."
    • Layer 2 — Pipeline: the visual representation of the process.
    • Layer 3 — Tags & Segmentation: labels that let you talk to the right people at the right time.
    • Layer 4 — Follow-Up Cadence: pre-built sequences that move leads through the pipeline automatically.
    • Layer 5 (Top) — CRM / Tools: software that makes 1–4 invisible and automatic.

    Why Most People Fail

They buy the CRM first. They never define the process. The tool ends up as an expensive contact database that nobody updates. Define your process on a napkin BEFORE you touch any tool.

    Chapter 3 — Layer 1

    Defining Your Sales Process

    The Universal 7-Stage Process

    • Prospect — they exist in your world. No conversation yet.
    • Lead — first conversation started.
    • Qualified — discovery happened. They have the problem, the means, the timeline.
    • Engaged — they've consumed your value, joined your call, read your proposal.
    • Negotiating — active "should I / shouldn't I" mode.
    • Won — they paid.
    • Retained / Expanded — renewed, upgraded, or referred. Most profitable stage.

    Triggers Between Stages

    • Prospect → Lead: they reply to a DM, comment on a post, fill out a form
    • Lead → Qualified: they answer 3 discovery questions
    • Qualified → Engaged: they book a call, consume the lead magnet
    • Engaged → Negotiating: they ask "how much?" or "how does it work?"
    • Negotiating → Won: they pay
    • Won → Retained: they renew, upgrade, refer, testimonial
